How this plan is worked out
  • Seats to commit are the people assigned each product today, less the removals this report confirmed: accounts that are disabled, dormant for 180 days or more or never signed in, unused Copilot seats, and licenses a person's suite already includes. Spare seats are kept for people Microsoft reports waiting for a license (a license assignment error), and the row says how many.
  • Confirmed switches to a cheaper plan come off the old product at its renewal, and the new plan is bought in their place; the effect is the difference. Removals and switches that need review, actions you dismissed and accounts kept on purpose are not taken off, and no subscription drops below the people actively using it.
  • Capacity products that belong to the whole tenant, such as database storage, keep every unit unless a confirmed action names them.
  • Seats to drop are placed on each product's active subscriptions, soonest renewal first. Seats on an annual term can usually be reduced only at renewal; give your reseller the new count by the act-by date, 14 days before the renewal.
  • Dollar figures are per year, at Microsoft list price and, where your organization entered one, at its own price. Prices exclude tax.
  • Run a new scan shortly before each renewal to confirm the count.

Renewal dates

Put the annual subscriptions on one renewal date, so seats come off in one order instead of several.

Renewal dates as of 6 Nov 2026

Your 4 annual subscriptions renew on 4 different dates. With no date shared, align them to the furthest out, 20 May 2027. Once aligned, they all renew on 20 May each year: one scan and one order with your reseller instead of 4.

SubscriptionRenewsEnd date to ask forFirst aligned term

Microsoft 365 E518 seats to commitRenews16 Mar 2027End date to ask for20 May 2027First aligned termabout 2 months, billed pro rata

1 subscription already renews on 20 May 2027 and needs nothing. Not compared: Microsoft 365 Copilot (all its seats are dropped at this renewal, see the seat plan); Exchange Online (Plan 2) (all its seats are dropped at this renewal, see the seat plan); Power BI Pro (all its seats are dropped at this renewal, see the seat plan); Skype for Business Online (Plan 2) (all its seats are dropped at this renewal, see the seat plan). Your reseller (CSP partner) can set end dates only on subscriptions it sold you; ones bought directly from Microsoft or through another partner keep their own dates. A term already running is never shortened: each subscription is aligned at its own next renewal.

Security

3 security gaps: 1 critical, 1 high, 1 medium. These carry no license savings, so they are listed apart from the money.

Administrator roles

1 account holds administrative roles (1 Global Administrator). This is an informational review, not a security finding. Confirm each is still required, make sure every administrator has MFA registered, and keep Global Administrators to fewer than five, plus at least two cloud-only break-glass accounts (Entra warns at 5 or more Global Administrator assignments, break-glass accounts included). Privileged Identity Management (PIM), which needs Entra ID P2 or Entra ID Governance, gives just-in-time elevation.

Prices
Savings at your prices use the monthly prices your organization entered. Products without a price of yours, and products a recommendation would add, are at Microsoft list price. The Sentsai price does not depend on any savings figure. Every dollar in this report says which price it uses. Your prices were last edited on 21 Oct 2026.
How the figures add up
Confirmed savings ($11,976) and savings that need review ($2,184) are kept apart throughout. Together they are the $14,160 a year identified at list price, with each license counted once.
Data sources
Read through Microsoft Graph with read-only permissions (User.Read.All, Directory.Read.All, Reports.Read.All and AuditLog.Read.All); Sentsai cannot change anything in your tenant.

What the scan cannot see
Your contract and invoice prices, unless you enter them. Commitments in your agreement: seats on an annual term can usually be reduced only at renewal. Why an account was kept on purpose, such as a mailbox on hold or someone on leave, unless an administrator marks it as kept. Which E5 features you use. Anything outside this Microsoft 365 tenant. Activity Microsoft has not reported yet: usage reports run 1 to 3 days behind, and a sign-in can take up to 24 hours to appear.

Notes and assumptions

  1. All license prices are in USD and reflect Microsoft commercial list pricing (ERP) as of the report date. These are commercial prices only and do not apply to government, education, or non-profit tenants. Your actual cost may differ based on your agreement, volume discounts, CSP (Cloud Solution Provider) margin, or EA (Enterprise Agreement) or MCA (Microsoft Customer Agreement) negotiated rates.
  2. Consumption and usage figures are sourced from the Microsoft Graph API at the time of scan and reflect activity within the preceding 30 to 180 day window depending on the metric.
  3. Exchange mailbox sizes and usage data are based on the most recent 30-day reporting period available from Microsoft.
  4. MFA and security posture data reflects registration status in Microsoft Entra ID at scan time. Conditional Access policies may enforce MFA even where registration is not recorded.
  5. This report is generated by Sentsai using automated rule-based analysis. It is informational only. Consult a qualified Microsoft licensing specialist or CSP partner before making licensing changes.
  6. Guest account access duration is calculated from the account creation date in Entra ID. Microsoft provides sign-in data only when the tenant has a Microsoft Entra ID P1 or P2 plan and the account that ran the scan holds a reporting role such as Reports Reader.
  7. Savings estimates are indicative only. Annual savings figures are calculated using Microsoft commercial list pricing and are provided as estimates to illustrate potential optimization opportunities. Actual savings will vary based on your existing contractual terms, negotiated rates, volume discounts, CSP agreements, and implementation complexity. Sentsai accepts no liability whatsoever for any financial decisions made in reliance on the estimates or recommendations contained in this report. You should independently verify all figures with your Microsoft partner or licensing specialist before taking action.
  8. This report is confidential and prepared solely for the organization identified on the cover page. Redistribution to third parties without consent of Sentsai is not permitted. Sentsai reserves the right to update its rule engine at any time; findings may differ between scan dates.
  9. Acting on this report reduces your SharePoint tenant storage pool by 320 GB (10 GB for each of the 32 Microsoft 365 or Office 365 suite seats removed; frontline licenses add none, and any storage some Project or Visio plans add is not counted here). Microsoft removes this capacity automatically when the seats are reduced. We cannot see your current usage, your default allowance, or any add-on storage you have already bought, so check your available capacity before acting - if you are close to a limit you may need to buy add-on storage, which would offset part of the saving.
